Invoicing FAQ

Common questions about invoicing and billing in FlowForth.

Can I edit an invoice after sending it?

No. Once an invoice is sent, its values are frozen for EU compliance and audit purposes. If you need to correct a sent invoice, create a Credit Note instead.

How do I delete an invoice?

Only Draft invoices can be deleted. Sent, delivered, or accepted invoices cannot be deleted — use a credit note to reverse them.

What are the invoice statuses?

StatusDescription
DraftBeing prepared — fully editable
SentSent to the client — frozen
DeliveredDelivery confirmed via Peppol
AcceptedClient has accepted the invoice
CancelledInvoice has been cancelled

See Invoice Details for more information.

How does invoice numbering work?

FlowForth uses sequential auto-incrementing numbers for invoices and credit notes. You can configure the numbering format and starting number from the invoice settings. See Invoice Numbering.

Can I add items that aren't activities?

Yes. When creating or editing a draft invoice, you can add manual line items for work not tracked as activities.

How does VAT work?

You can apply VAT at the invoice level or configure different VAT rates per line item. FlowForth supports Peppol tax categories for e-invoicing compliance. See Creating an Invoice for details.

Can I apply discounts?

Yes. You can apply either a fixed amount or a percentage discount to a draft invoice.

What is the invoice journal?

The invoice journal is a tax reporting ledger that shows all invoices and credit notes with VAT breakdowns. You can export it to CSV for your accountant. See Invoice Journal.

How do I send an invoice via Peppol?

To send an invoice electronically via Peppol, the client must have a Peppol ID configured, and the E-Invoicing integration must be active for your organization. When these conditions are met, you'll see the option to send via Peppol on the invoice detail page.

What is a credit note?

A credit note is used to correct or reverse a sent invoice — either fully or partially. See Credit Notes for details.

How do I generate an invoice report?

Navigate to Invoices → Reports to run revenue reports with date ranges, client filters, and user filters. See Invoice Reports.
