Activities Overview
Activities in FlowForth represent the individual jobs or tasks you schedule at client locations. They are the core unit of work — everything from daily planning and route management to invoicing starts with an activity.
What Is an Activity?
An activity is a scheduled piece of work performed at a specific location. Each activity belongs to a location (which in turn belongs to a client), and can be assigned to a route for daily planning.
How Activities Are Used
Organizing Your Work
Activities connect to the rest of FlowForth through a simple hierarchy:
- Clients have one or more Locations
- Locations are where Activities take place
- Activities are grouped into Routes for daily planning
- Completed activities are used to generate Invoices
Key Activity Information
Each activity record can store:
- Title — a short name describing the work to be performed
- Description — additional details about the activity
- Scheduled Date — the date the activity is planned for
- Start Time / End Time — optional time window for the activity
- Price — the amount to charge for this activity
- Status — the current state: Scheduled, In Progress, Completed, Cancelled, or Can't Complete
- Tags — labels for categorizing and filtering activities
- Photos — images attached as evidence or documentation
- Notes — internal notes visible only to your team
Recurring Activities
Activities can be set up as recurring, meaning they automatically repeat on a defined schedule (daily, weekly, bi-weekly, monthly, or yearly). This is useful for clients with regular service agreements. See Recurring Activities for details.
Activity Status
Each activity goes through a lifecycle represented by its status:
| Status | Meaning |
|---|---|
| Scheduled | The activity is planned but work has not started |
| In Progress | Work is currently underway |
| Completed | The work has been finished |
| Cancelled | The activity was cancelled and will not be performed |
| Can't Complete | The work could not be performed and needs review |

FlowForth provides several tools for working with activities:

Who Can Manage Activities?
Activity management requires the Organization Admin role. Regular employees can view activities assigned to their routes and update the status of those activities, but cannot create, edit, or delete activities.
