Dedicated WhatsApp Numbers
By default, FlowForth sends WhatsApp notifications from a shared phone number. With a dedicated WhatsApp number, messages are sent from your organization's own number, displaying your business name to clients instead of "FlowForth."
Shared vs. Dedicated Numbers
| Feature | Shared Number | Dedicated Number |
|---|---|---|
| Sender name | Shows "FlowForth" | Shows your organization's business name |
| Phone number | FlowForth's shared number | Your organization's own number |
| Setup | Automatic — no configuration needed | Requires Meta Business verification |
| Billing | Included in your subscription | Premium add-on |
Before You Begin
You need the Organization Admin role to set up a dedicated WhatsApp number. You will also need:
- A Meta Business account (Facebook Business).
- Authority to verify your business with Meta.
Setting Up a Dedicated Number
- Navigate to Settings → Integrations from the main navigation menu.
- Click on the Notifications integration.
- In the WhatsApp Number section, click Set Up Dedicated Number.
- A Meta Embedded Signup popup will appear. Follow the steps:
- Log in to your Meta Business account.
- Confirm your business details.
- Authorize the WhatsApp Business Account (WABA) creation.
- Once you complete the signup, FlowForth begins the provisioning process automatically.

Provisioning Status
After completing the Meta signup, the provisioning process runs in the background. You can track its progress on the Notifications integration page:
| Status | Indicator | Meaning |
|---|---|---|
| Setting Up | Amber | FlowForth is configuring your number and registering message templates |
| Pending Approval | Amber | Waiting for Meta to approve your WhatsApp message templates |
| Active | Green | Your dedicated number is fully operational |
| Failed | Red | An error occurred during setup — use the retry option |
The provisioning process typically takes a few minutes for the initial setup, but Meta template approval can take up to 24 hours. You will continue to use the shared number until your dedicated number is active.
What Happens During Provisioning
Behind the scenes, FlowForth automatically:
- Creates a dedicated messaging account for your organization.
- Registers your WhatsApp Business Account with the messaging provider.
- Provisions a phone number for your organization.
- Registers the number with WhatsApp.
- Submits your notification message templates to Meta for approval.
- Activates the number once templates are approved.
You do not need to take any action during this process.
Using Your Dedicated Number
Once your dedicated number is active:
- All outgoing WhatsApp notifications will be sent from your dedicated number.
- Clients will see your organization's business name as the sender.
- Inbound client messages will be routed to your Conversations page as before.
- All existing notification preferences and templates continue to work.
If Provisioning Fails
If the setup fails:
- Check the error message on the Notifications integration page.
- Click Retry to attempt the provisioning again.
- If the issue persists, contact FlowForth support for assistance.
Common reasons for failure include incomplete Meta Business verification or issues with the Meta Business account.
