Notification Templates

FlowForth uses message templates to generate WhatsApp notifications. You can customize these templates to match your organization's tone and include relevant details about scheduled activities.

Before You Begin

You need the Organization Admin role to edit notification templates. The Notifications integration must be enabled for your organization.

Accessing Templates

  1. Navigate to Settings → Integrations from the main navigation menu.
  2. Click on the Notifications integration.
  3. Scroll to the Message Templates section.

Available Templates

FlowForth provides templates for the following notification types:

  • Service Reminder — The standard message sent for day-before, morning-of, and hour-before reminders.
  • Service Completed — Sent when an activity is marked as complete.
  • Interactive Templates — Messages that include action buttons (Confirm, Reschedule, Cancel) for client responses.

Each template is available in English and Dutch, with separate editors for each language.

Template Variables

Templates support variables that are automatically replaced with real data when the message is sent:

For interactive templates, {{clientName}} and {{organizationName}} appear automatically in the fixed greeting, so you don't need to add them to the editable body.

Editing a Template

  1. In the Message Templates section, find the template you want to edit.
  2. Each template lists its English and Dutch versions as separate rows. Find the row for the language you want to edit.
  3. Edit the message text in the editor. Use the variables listed above to insert dynamic content.
  4. Review the live preview on the right side to see how the message will appear.
  5. Click Save to apply your changes.
tip

Keep messages concise. WhatsApp templates have a 1024 character limit. The character counter below the editor shows how many characters remain.

Interactive Templates

Interactive templates are made up of several parts, but only the body is editable:

  • Fixed greeting — The opening line, shown for reference. It is set by the template and cannot be edited.
  • Body — The main content with activity details. This is the only part you can edit.
  • Fixed closing — A sign-off phrase, shown for reference and not editable.
  • Action buttons — Pre-defined buttons that clients can tap (Confirm, Reschedule, Cancel), shown as a preview. The labels are fixed.

Because the greeting, closing, and button labels are fixed, editing an interactive template means adjusting the body text only.

Resetting to Defaults

To restore a template to its original text:

  1. Open the template editor.
  2. Click Reset to Default.
  3. The template reverts to FlowForth's standard wording.

This affects only the selected language version of that template.
