Client Notification Preferences
FlowForth can send automated WhatsApp notifications to your clients about upcoming and completed activities. This guide explains how to configure notification preferences for individual clients.
Notification preferences are only available when your organization has the Notifications integration enabled. If you don't see the notification section on the client detail page, check your organization's integration settings.
WhatsApp Opt-In
Before a client can receive notifications, you must record their consent. FlowForth tracks opt-in status for GDPR compliance.
Opting a Client In
- Open the client detail page for the client.
- Scroll to the Notifications section.
- Fill in the opt-in form:
- Phone Number (required) — The client's WhatsApp number in international format (e.g.,
+31612345678). - Opt-In Method (required) — How consent was obtained:
- Verbal — The client agreed verbally.
- Written — The client signed a document.
- Digital Form — The client submitted an online form.
- Service Agreement — Consent was included in the service agreement.
- Preferred Language — The language for notification messages: English or Dutch.
- Opt-In Notes (optional) — Additional context about how consent was given, stored for audit purposes.
- Phone Number (required) — The client's WhatsApp number in international format (e.g.,
- Click Save to record the opt-in.
WhatsApp opt-in form
Phone numbers must use E.164 international format: a + followed by the country code and number, with no spaces or dashes. For example: +31612345678 for a Dutch number or +32475123456 for a Belgian number.
Viewing Opt-In Status
Once a client is opted in, the notification section displays:
- A green Opted in badge
- The registered WhatsApp number
- Consent details (method, date, and notes)
- A Disable Notifications button
Opting a Client Out
To stop sending notifications to a client:
- Open the client's detail page.
- In the Notifications section, click Disable Notifications.
The client's opt-out is recorded with a timestamp. You can opt them back in at any time by completing the opt-in form again.
Notification Reminder Settings
After a client is opted in, you can configure which reminders they receive.
Available Reminders

| Day Before | Enabled at 18:00 | Sent the evening before a scheduled activity |
| Morning Of | Enabled at 08:00 | Sent on the morning of a scheduled activity |
| Hour Before | Disabled | Sent one hour before a scheduled activity |
| Service Completed | Enabled | Sent when an activity is marked as complete |
Notification preferences toggles
Customizing Reminders
For each reminder type, you can:
- Enable or disable it using the toggle switch.
- Set the time (for Day Before and Morning Of reminders) — choose what time the notification is sent.
Resetting to Defaults
Click Reset to Defaults to restore all reminder settings to the system defaults:
- Day Before: enabled, sent at 18:00
- Morning Of: enabled, sent at 08:00
- Hour Before: disabled
- Service Completed: enabled
After making changes, click Save to apply the new settings.
Changing Preferred Language
You can change a client's preferred notification language at any time from the notification section on their detail page. This controls the language used in WhatsApp message templates sent to that client.
