Notifications Integration (Twilio)
The Notifications integration connects FlowForth to WhatsApp via Twilio, allowing you to send automated notifications to your clients about upcoming and completed activities. Once enabled, you can configure notification preferences, customize message templates, and use two-way messaging.
Before You Begin
You need the Organization Admin role to activate and configure the Notifications integration. See Understanding User Roles for more information.
Activating the Integration
- Navigate to Settings → Integrations from the main navigation menu.
- Find the Notifications integration card.
- Click Activate to enable notifications for your organization.

Once activated, notification features become visible throughout the app:
- The Communications section appears in the main navigation menu.
- Notification preferences appear on client detail pages.
- Notification history and Conversations pages become accessible.
Until the integration is activated, all notification-related features are hidden. If team members cannot see notification options, verify that the integration is enabled.
What You Can Configure
After activating the Notifications integration, the integration settings page provides several configuration sections:
Default Reminder Settings
Set the default notification preferences that apply when you opt a new client into notifications:

These defaults only affect newly opted-in clients. Existing client preferences remain unchanged. For full details, see Notification Preferences.
Message Templates
Customize the content of notification messages sent to your clients. Templates support both English and Dutch and include placeholder variables for dynamic content like client name, activity date, and time.

WhatsApp Number
By default, notifications are sent from FlowForth's shared WhatsApp number. You can optionally set up a dedicated WhatsApp number that displays your organization's business name to clients.

How Notifications Are Sent
When notifications are enabled:
- FlowForth checks the schedule for activities assigned to routes.
- For each activity, it looks up the client's notification preferences.
- If a reminder is due, FlowForth sends a WhatsApp message via Twilio.
- Message delivery is tracked through statuses: Queued → Sent → Delivered → Read.
Notifications are only sent for activities that are assigned to a route. Unassigned activities do not trigger notifications.
Usage and Billing
WhatsApp messages are a metered feature. Your subscription plan includes a set number of messages per billing period. Usage beyond the included limit is billed as overage.

Deactivating the Integration
To deactivate the Notifications integration:
- Navigate to Settings → Integrations.
- Click on the Notifications integration card.
- Click Deactivate.
Deactivating the integration stops all outgoing notifications and hides notification features from the app. Client notification preferences are preserved so they can be restored if you reactivate later.
