Managing Supply Items

The supply catalog is the foundation of FlowForth's inventory management. Admins define the items that your organization tracks — from cleaning products to safety equipment.

Only administrators can manage supply items.

Accessing the Supply Catalog

Navigate to InventorySupply Catalog in the sidebar, or go to /inventory/supplies.

Creating a Supply Item

  1. Click Add Supply Item.
  2. Fill in the required fields:
    • Name — A descriptive name (e.g., "Glass Cleaner", "Latex Gloves").
    • Unit — How the item is measured (e.g., "bottles", "pairs", "units").
    • Category — Group the item by type (e.g., "Cleaning", "Tools", "Safety", "Consumables").
  3. Optionally set:
    • Description — Additional details about the item.
    • Low Stock Threshold — The minimum quantity before the item is flagged as low stock. When a vehicle's reported stock falls at or below this number, admins receive an alert.
  4. Click Save.

Editing a Supply Item

  1. Find the item in the supply catalog list.
  2. Click the item or the edit button.
  3. Update the fields as needed.
  4. Click Save.

Deleting a Supply Item

  1. Find the item in the supply catalog list.
  2. Click the delete button.
  3. Confirm the deletion in the dialog.

Deleting a supply item removes it from all vehicle inventories. This action cannot be undone.

Searching and Filtering

Use the search bar at the top of the catalog to find items by name. You can also filter by category to narrow down the list.

Low Stock Threshold

The low stock threshold is an optional setting per supply item. When set:

  • After an employee submits an inventory report, FlowForth checks whether any reported quantities are at or below the threshold.
  • If so, a low stock alert is generated for organization admins.
  • Admins can view all low stock items on the Low Stock Overview page.

Set thresholds based on how quickly items are consumed. Items that run out fast should have a higher threshold to give you more time to restock.
