Managing Vehicles and Assignments
Vehicles are the carriers of your inventory. Admins create vehicles, assign employees to them, and set expected supply quantities for each vehicle.
Only administrators can manage vehicles and assignments.
Accessing the Vehicles Page
Navigate to Inventory → Vehicles in the sidebar, or go to /inventory/vehicles.
Creating a Vehicle
- Click Add Vehicle.
- Enter the vehicle details:
- Name / Identifier — A recognizable name or license plate (e.g., "Van #3", "AB-123-CD").
- Click Save.
The vehicle is created as active by default.
Editing a Vehicle
- Find the vehicle in the list.
- Click the vehicle or the edit button.
- Update the name or other details.
- Click Save.
Deactivating a Vehicle
If a vehicle is temporarily or permanently out of service:
- Find the vehicle in the list.
- Click the edit button.
- Toggle the Active status off.
- Click Save.
Use the active/inactive filter on the vehicles page to show or hide inactive vehicles.
Assigning Employees to a Vehicle
Employees must be assigned to a vehicle before they can view its inventory, submit reports, or make supply requests.
- Open the vehicle detail page by clicking on the vehicle.
- In the Assignments section, click Manage Assignments.
- Select the employees you want to assign from the list of organization members.
- Click Save.
An employee can be assigned to multiple vehicles, and a vehicle can have multiple assigned employees.
Managing Vehicle Inventory
Once a vehicle is created, you can set up which supply items are loaded on it and in what quantities.
- Open the vehicle detail page.
- In the Inventory section, you'll see the list of supply items allocated to this vehicle.
- For each item, set the Expected Quantity — the amount that should be on the vehicle when fully stocked.
- The Current Quantity is updated automatically when employees submit inventory reports.
