Mass Invoice Download
Mass Invoice Download lets you bulk-export your organization's invoices as a single ZIP archive. Instead of opening and downloading invoices one at a time, you pick a set of filters, start a background export, and FlowForth emails you a download link when the archive is ready.
Because an organization can have thousands of invoices, the export runs in the background — you don't have to keep the page open. You can start an export, leave, and come back later to download it (or just use the link in the email).
Exporting all of your financial documents is a sensitive action, so Mass Invoice Download is available to organization administrators only. Other team members won't see the Invoice Exports page.
Where to Find It
- In the main navigation, open the Invoices section and select Invoice Exports (shown to administrators only).
- On the Invoice Exports page, click Export Invoices to open the export dialog.
Starting an Export
The export dialog lets you narrow down which invoices to include. Configure the filters and click Export to start the job.
Client Type Selection
Choose which categories of client to include. You can select any combination of the three:

All three are selected by default. Selecting all three means no client-type restriction — every client is included. At least one category must be selected.
Date Range
Filter invoices by their issue date:
- All — Every matching invoice, with no date restriction.
- This year — Invoices issued since January 1 of the current year up to today.
- Custom — Pick a specific From and To date. Both dates are required, and the From date must be on or before the To date. The range is inclusive of both dates.
Status Filter (optional)
By default, the export includes all issued invoices — those with status Sent, Paid, or Cancelled. Draft invoices are never included, because they don't yet have a final invoice number.
You can optionally narrow this to a single status (e.g. only Paid). This filter only narrows the issued set — it can never add drafts.
What's in the ZIP
The archive contains one PDF per invoice, plus a manifest:
- Invoice PDFs — Each invoice is included as the exact PDF that was sent to the client, so the archive matches your audit records. File names are date-prefixed for easy sorting and searching, in the form
2026-03-14-INV-00042.pdf. manifest.csv— A spreadsheet-friendly index at the root of the ZIP listing every invoice: invoice number, client name, client type, issue date, total, status, and file name. Use it to reconcile the archive against your records.
Tracking Progress
After you start an export, it appears in the list on the Invoice Exports page with a status badge:

| Processing | Generating invoices — a progress bar shows how many of the total have been processed |
| Completed | Ready — a Download button is available until the link expires |
| Failed | Something went wrong — a short reason is shown along with a Retry option |
| Expired | The 7-day download window has passed and the archive has been removed |
Each row also shows Requested by — the name of the administrator who started that export — so when several administrators share an organization, you can see at a glance who initiated each one.
The page updates the progress of in-flight exports automatically, so you can watch a large export complete without refreshing.
Only one export can be running per organization at a time. If an export is already Pending or Processing, starting another shows a message that an export is already in progress. Wait for the current one to finish before starting a new one.
Downloading the Archive
When the export finishes, FlowForth emails the administrator who requested it a download link, including the number of invoices and the expiry date.
You can download the archive in two ways:
- Click the link in the email, or
- Click Download next to the job on the Invoice Exports page.
Both require you to be logged in — the link is not a public, tokenless URL. FlowForth re-checks that you're an administrator of the organization before serving the file.
If no invoices match your filters, no ZIP is produced. The export still completes, and you receive a friendly "no invoices matched" email so you know the job ran.
7-Day Expiry
Each export archive — and its download link — lives for 7 days, then expires. After that:
- The download link returns an "expired" response and the Download button is removed.
- The archive file is permanently deleted from storage.
The job itself stays in your Invoice Exports list (marked Expired) for reference, but the downloadable file is gone. If you still need the invoices after 7 days, just start a new export.
