The Route Planner Page

The Route Planner is FlowForth's dispatch board — the central hub for organizing daily routes, assigning activities, and managing your team's workload.

Accessing the Route Planner

Navigate to Route Planner from the main navigation menu. The planner opens to the current date by default.

Date Navigation

The planner includes date navigation controls at the top of the page:

  • Previous / Next arrows — Move one day forward or backward.
  • Today button — Jump back to the current date.
  • Calendar control — Click the date to open a calendar picker for fast navigation to any date.

Page Layout

The Route Planner page is divided into two main areas:

Routes Section

The left side shows all routes for the selected date. Each route card displays:

  • Route name and status
  • Assigned team members (if any)
  • Activity count — how many activities are in the route
  • Total travel time and total distance
  • Activity list — each activity with its title, location, time, and travel info from the previous activity

Route cards can be expanded or collapsed to show or hide their activities.

Unassigned Activities

The right side shows all activities scheduled for the selected date that are not yet assigned to a route. These are the activities you need to plan.

You can filter unassigned activities by:

  • Tags — Filter by one or more activity tags
  • City — Filter by the city of the activity's location

Ready for Work

Each route card includes a Ready for Work toggle that lets planners indicate when a route is finalized and ready for execution. This prevents incomplete or draft routes from appearing on worker dashboards and triggering premature client notifications.

Toggle States

StateDescription
Not Ready (default)Route is still being planned. Shown with an outline badge or dimmed icon.
ReadyRoute is finalized. Shown with a green badge or checkmark icon.

Using the Toggle

  • Click the Ready for Work toggle in the route card header to mark a route as ready.
  • Click it again to unmark a route (returns to Not Ready).
  • The toggle is disabled for routes in Draft status — assign at least one team member first.
  • The toggle is also disabled for routes that are In Progress, Completed, or Cancelled.
tip

When your organization has the "Only show Ready for Work routes on dashboard" setting enabled, routes must be marked as ready before workers can see them on their dashboards. See Organization Settings for details.

Mark All Ready

Below the toolbar, a Mark All Ready button appears when there are eligible routes that haven't been marked as ready yet. Clicking it marks all eligible routes for the selected date as ready in one action. A confirmation dialog appears before applying. This is useful when you finalize all routes for the next day at once.

For more details, see the dedicated Ready for Work guide.

Working with Routes

From the Route Planner, you can:

  • Create a route — Click the Create Route button to add a new route for the selected date.
  • Edit a route — Click on a route to modify its name or assigned users.
  • Reschedule a route — Move all pending activities to a new date. See Rescheduling a Route.
  • Delete a route — Remove a route (activities return to the unassigned pool).
  • Drag activities — Drag activities from the unassigned panel into route cards, or between routes.
  • Reorder activities — Drag activities within a route to change their sequence.
  • View the map — Open the activity map to visualize routes geographically.
  • Mark as ready — Toggle the Ready for Work indicator to signal that a route is finalized.

Route Status Indicators

Each route card shows its current status with a visual indicator:
