Creating a Route

This guide walks you through creating a new route in FlowForth.

Before You Begin

You need the Organization Admin role to create routes. You should also have activities scheduled for the date you want to plan.

Step-by-Step

  1. Navigate to the Route Planner page from the main navigation menu.
  2. Use the date navigation controls to select the date you want to create a route for.
  3. Click the Create Route button.
  4. Enter the following details:

Route Information

  • Name (required) — A short name for the route (e.g., "North District", "Morning Run").
  • Date — The date is set automatically based on the currently selected date in the planner.
  • Notes (optional) — A free-text message for the team member(s) assigned to this route. Use it for reminders about the work for that route or day, such as a gate code, parking instructions, or a request to call a customer first. See Route Notes below.
  1. Click Create to save the new route.

The route is created in Draft status with no activities or team members assigned. You can now:

Route Notes

You can attach an optional note to a route — a short message for the team member(s) who will work it. The note is shared by everyone assigned to the route and is a good place for day-specific instructions.

Typical uses include:

  • Access details like a gate code or building entrance
  • Parking or logistics reminders
  • A heads-up about a specific stop ("Customer at stop 3 prefers a call first")
  • Reminders to bring particular equipment

To set or edit a note:

  1. Open the Create Route dialog (above) or edit an existing route from its card in the Route Planner.
  2. Type your message in the Notes field. Notes can be up to 2,000 characters and may span multiple lines.
  3. Save the route.

To remove a note, clear the Notes field and save — the note disappears entirely.

When a note is set, it appears for the assigned employee(s) on their Dashboard. When the field is empty, nothing is shown.

Route notes are visible to assigned employees on their dashboard. They do not send any notification to employees or clients.

Creating Routes from the Activity Planner

You can also create a route directly from the Activity Planner:

  1. Select the activities you want to include in the route.
  2. Click Create Route in the bulk action toolbar.
  3. Choose the route settings and assign team members.
  4. Confirm the operation.

This creates the route and assigns the selected activities in one step.

Automatic Route Creation

If you have route templates configured, FlowForth can automatically create routes based on activity tags. This saves time when you have a predictable daily routing pattern.
