Activity Planner
The Activity Planner is a calendar-based view for managing and scheduling your activities. It provides filtering, sorting, and bulk operations to help you organize work efficiently.
Accessing the Planner
Navigate to Activity Planner from the main navigation menu. The planner opens to the current month by default.
View Modes
The Activity Planner supports two view modes:
- Monthly — A full month calendar grid (default view)
- Weekly — A focused 7-day calendar strip with more detail per day
Switch between views using the Monthly / Weekly toggle in the calendar header bar, next to the collapse and config buttons. Your selected view mode is remembered in your browser so it persists across sessions.
Monthly Calendar
The monthly view shows a traditional calendar grid. Each day in the calendar shows the number of activities scheduled, with color-coded indicators:
- Blue — Normal activity count
- Yellow — Moderate activity count
- Red — High activity count
Click any date on the calendar to view the activities scheduled for that date range.
You can customize the activity count thresholds for the calendar color coding. The thresholds are stored locally in your browser settings.
Weekly Calendar
The weekly view provides a focused look at a single week, displayed as a horizontal strip of 7 day columns (Monday through Sunday).
What Each Day Shows
Each day column displays:
- Day name and date (e.g., "Mon Mar 9")
- Completed / Total activity count (e.g., "3/5")
- Completed value / Total value (e.g., "€75/€250")
- Completion progress bar showing the ratio of completed to total activities
- Color-coded background using the same threshold settings as the monthly view (blue/yellow/red)
- Today highlight — today's column is highlighted with a blue ring border
Week Navigation
- Use the left and right arrows to move to the previous or next week.
- Click the Today button to jump back to the current week.
- The week number is displayed in the header (e.g., "Week 11").
Weekly Summary
A summary strip shows aggregated stats for the entire visible week:
- Total Activities — sum across all 7 days
- Completed Activities — sum across all 7 days
- Total Value — sum across all 7 days
- Completed Value — sum across all 7 days
Clicking a Day
Click a day column to filter the activity table below to show only that day's activities. Click the same day again to deselect it and show all activities for the week.
Collapsing the Weekly Calendar
The weekly calendar supports the same collapse/expand toggle as the monthly view. When collapsed, a compact bar shows the week date range (e.g., "Mar 9 – Mar 15, 2026") and weekly totals.
Switching Between Views
When switching from monthly to weekly, the weekly view centers on the week containing today (or the currently selected date). When switching from weekly to monthly, the month containing the current week is shown. All active filters, search terms, and sort settings are preserved when switching views.
Filtering Activities
The planner provides several filters to narrow down your view:
- City — Filter by the city of the activity's location.
- Status — Filter by activity status (Scheduled, In Progress, Completed, Cancelled, Can't Complete).
- Route Assignment — Filter to show only activities with a route, only activities without a route, or all activities regardless of route assignment.
- Tags — Filter by one or more activity tags. The tag dropdown includes:
- A search field to quickly find tags by name.
- Selected tags pinned at the top so your active filters are always visible.
- Client Tags, Auto Tags, and Manual Tags shown in collapsible sections. Collapsing a section is remembered in your browser, so a section you collapse stays collapsed the next time you open the dropdown.
- A count badge on the button (e.g., "Tags (3)") showing how many tag filters are active.
- Search — Full-text search across activity titles and details.
Filters can be combined to create a precise view of the activities you need.
Your filter selections — city, status, route assignment, tags, and search — are remembered in your browser, along with your sort choice. When you leave the planner and come back (or reload the page), it restores the filters and sort you last used, so you don't have to set them up again.
Show Cancelled Toggle
Cancelled activities are hidden from the planner by default. Use the "Show cancelled" toggle above the activity table to reveal them. When shown, cancelled activities appear with muted styling and a "Cancelled" badge. The toggle resets when you leave the page.
When cancelled activities are visible, administrators can restore them back to Scheduled status using the Restore option in the row action menu. See Cancelled Activities for details.
Sorting
You can sort the activity list by:
- Date
- Activity name
- Client
- Location
- City
- Route
- Status
- Price
Click a column header to sort by that field. Click again to reverse the sort order.
Your sort choice is remembered in your browser, so returning to the planner restores the column and direction you last used.
Selecting Activities
Use the checkboxes to select one or more activities for bulk operations. A selection toolbar appears when activities are selected, showing the number of selected items and available actions.
Bulk Operations
Reschedule Multiple Activities
Move several activities to a new date at once:
- Select the activities you want to reschedule.
- Click Reschedule in the bulk action toolbar.
- Choose the new date.
- For recurring activities, you can choose whether to also reschedule future instances.
- Confirm the operation.
FlowForth will display a result showing how many activities were successfully rescheduled and how many failed.
Create Route
Assign selected activities to a new route:
- Select the activities you want to include.
- Click Create Route in the bulk action toolbar.
- Choose the route settings and assign employees.
- Confirm the operation.
Clear from Routes
Remove selected activities from their currently assigned routes:
- Select the activities to remove from routes.
- Click Clear from Routes in the bulk action toolbar.
- Confirm the operation.
The activities remain scheduled but are no longer assigned to any route.
Results Grid
Below the calendar, the planner uses a space-efficient results grid and multi-select status filtering designed to help you see more activities at once and filter down faster.
Streamlined Grid
To reduce the space each row takes, the grid focuses on the columns most useful while planning:
- Checkbox — Select rows for bulk operations (disabled for completed activities).
- Date — Scheduled date (DD/MM/YYYY). Sortable.
- Location — Location name, linked to the location's detail page. Sortable.
- City — The location's city, or "-" when none. Sortable.
- Tags — Colored tag chips.
- Status — Colored status badge. Sortable.
Click a column header to sort by that field; click again to reverse the order.
The de-emphasized details (activity title, client, route / assigned, price) are not lost — they are available on each row's expandable panel and on the activity detail page.
Expandable Rows
Click a row (or its chevron) to expand it in place and reveal the fields that were removed from the grid — activity title, client, route / assigned, and price — without navigating away. Click again to collapse it.
Multi-Select Status Filter
The status filter is a multi-select, so you can view several statuses at once (for example, Scheduled + In Progress). It mirrors the tag filter, with a search field, selected chips, and a clear action, plus a count badge on the button (e.g., "Statuses (2)"). Leaving the selection empty falls back to the default active statuses.
Quick Status Chips
Above the grid, one-click status chips show a per-status count of the loaded activities and act as a fast path into the multi-select status filter — click a chip to toggle that status in the filter.
Density Toggle
A Row density toggle switches between Comfortable and Compact row heights. Compact is the default, packing more rows onto the screen. Your choice is remembered in your browser.
Sticky Filters and Headers
The filter bar and column headers stay pinned to the top while you scroll a long list, so filters and column labels remain in reach.
Saved Filter Session
The planner remembers your filter state — the selected statuses, city, tags, route assignment, and search term — along with your sort column and direction, in your browser, so a planning session survives a page refresh and is restored when you return later.
