Data Deletion
This page explains how to request deletion of your personal data from FlowForth, what is removed when you do, and the limited information we are legally required to keep.
How to request deletion
To request deletion of your personal data, email privacy@flowforth.app from the email address associated with your FlowForth account.
To help us locate your data and verify your identity, please include:
- The email address you use to sign in to FlowForth.
- The name of your organization (if you know it).
- A short note confirming that you are requesting deletion of your personal data.
We may contact you to verify your identity before processing the request. This protects your account from deletion requests made by someone else.
What happens next
- We acknowledge your request and verify your identity.
- We delete the personal data we are able to remove (see below).
- We confirm by email once your request has been completed.
We aim to complete verified requests within 30 days. In line with applicable data protection law (GDPR), complex requests may take up to 90 days, in which case we will let you know.
What gets deleted
When you request deletion, we remove personal data associated with your account, such as:
- Your user profile (name, email, contact details, and login credentials).
- Personal settings and preferences tied to your account.
What we are required to retain
Some data cannot be deleted on request because we are legally obliged to keep it:
- Invoices and credit notes. Under EU and Belgian tax law, financial and billing records must be retained for approximately 7 years. These records may include the personal or business details necessary to make them valid (such as billing names and addresses). They are excluded from deletion until the legal retention period has passed.
Where retention is required, we keep only what the law requires and restrict its use to that purpose.
A note for organizations and their clients
FlowForth is used by organizations to manage their own clients, locations, and activities. If you are a client of an organization that uses FlowForth (for example, you received a WhatsApp notification about a scheduled visit), the organization — not FlowForth — controls that data.
To have your data removed in that case, please contact the organization you deal with directly. If you are unsure who that is, email privacy@flowforth.app and we will help route your request to the correct organization.
If your goal is to stop receiving WhatsApp notifications rather than delete your data, the organization that contacts you can update your notification preferences. See Notifications FAQ for details.
